1) Kickoff & Scope

  • Goal: What story are we telling? (marketing stills, design review, sales film, etc.)

  • Deliverables: number of stills / Virtual tours / animation length, aspect ratio, resolution (e.g., 4K stills; 4K Virtual tours; 1920×1080 @ 30 fps animation), color space (sRGB unless specified).

  • Style reference: 3–5 example images/videos you like (lighting, mood, camera style).

  • Key dates: draft, review rounds, final delivery.

2) What we Need From You

Please provide all details in single folder via shared drive/link (no email attachments over 30 MB):

  • Geometry: CAD (.dwg), BIM (.rvt), or 3D (.skp/.fbx/.obj) + All drawings - RCP, HVAC, Flooring, Furniture, elevations, sections. Please share relevant and latest files only, avoid sending data inside cad files which is non-relevant.

  • Context: site pictures/videos ; GIS if available.

  • Design intent: latest drawings which should be last update; redlines if in flux/in progress.

  • Materials/finishes: schedules, product links, color codes, tile patterns, design mood boards

  • Furnishings/fixtures: schedules, model files or product links; landscape palette.

  • Brand & signage: logos, fonts, guidelines.

  • Photography (if photomontage): hi-res backplates + lens data / location notes.

  • Permissions: any required approvals (client, architect, developer) and logo usage rights.

3) Workflow & Milestones

  1. Camera/Storyboard (Animation) or View Selection (Stills)
    We propose views/camera paths on cad plan → you review → we lock angles/sequence. 

  2. Round 1 - White Model Pass

    Untextured model to confirm massing, proportions, and composition. We freeze modelling proportions and camera angles in this stage. Changing them later can add additional cost.

    Project reaches around 30%-40% of total stage.

  3. Round 2 - Material & Lighting Pass

    Draft with modelling changes in provided in Round 1 and basic materials, lighting but without accessories/decoratives. We freeze material shade and modelling changes in this stage no more modelling changes are included in this scope.

    Project reaches around 60%-70% of total stage.

  4. Round 3 - Pre- Final Pass

    All changes amended provided in Round 2 and then Finalize mood and lighting according to ref lighting which we discussed, interior lighting balance and added basic decoratives as per selection of client. All the changes freeze at this stage.

    Project reaches around 90%-95% of total stage.

  5. Round 4 - High-Res Crops

Minor tweaks done in case we receive any observation in Round 3 Pre Final Stage, We show high resolution crop versions of any specific material if required also show noise level check, then we proceed for high res render after approval.

Project reaches around 100% of total stage.

  • Animation: playblasts then low-res previews for timing/edit.
  • Post-Production
    Color, sky replacement, FX, people/vehicles, typography, sound (for video).

  • Final Delivery

    • Stills: JPEGs on 4000px as general note

    • Animation: ProRes 422 HQ or H.264 MP4.

4) Reviews & Revisions

  • Included rounds: 1 round per phase (Camera/Modeling, Materials/Lighting, Final polish).

    Extra round of change is charged on per hour basis.

  • How to give feedback:

    • Consolidate team notes into one list/pdf with proper marking, in case of modelling change then updated cad files, or proper proportion or size marked, in case of material change then proper links of material with their sheet sizes.

    •  For videos, use timecodes (00:01:23) and frame numbers.

  • Out-of-scope changes: Design changes after delivering Final Renders (layout, architecture, major materials) may affect budget/schedule; we’ll quote before proceeding.

5) Schedule (Typical)

  • Kickoff → View lock: 2–4 business days

  • White model pass: 2–5 days (scope dependent)

  • Materials/lighting: 4–7 days

  • Final renders: 1–3 days for stills; animations vary by length/complexity

Note: timelines adjust with complexity, render times, and review turnaround.

6) Technical Specs We Use (Default)

  • Stills: 4000–6000 px on long edge, 16-bit TIF + sRGB JPG

  • Animation: 1920×1080 or 3840×2160, 24 fps, ProRes 422 HQ master + H.264 review

7) Options & Add-Ons

  • Alternate times of day / weather sets

  • Seasonal variants / landscaping development

  • Photomontage with location photography or drone plates

  • 360° panoramas / VR tours

  • Diagrammatic overlays, titles, and branding

  • Sound design, music licensing, voiceover (animations)

8) Approvals, Delivery & Archiving

  • Approval: written sign-off on finals before sharing the final renders.

  • Delivery: On mail high res versions

  • Archive: project files archived for 6 months; re-opening may incur a retrieval fee.
